Quotation Generator

We built this for ourselves first. It takes a structured enquiry and produces a priced, branded quotation without anyone rebuilding the same document from scratch.

Inside the generator

  1. Structured enquiry

Requirement captured once, in a fixed format

  2. Product & pricing lookup

Items, rates and terms pulled from the price list

  3. Draft quotation

Generated with the correct branding and validity

  4. Internal review

Margin and discount checked before it leaves

Why we built it

Quoting was the slowest part of our own sales process

Every enquiry meant opening the last similar quotation, replacing the customer details, checking whether the pricing was still current, fixing the formatting and re-reading it for the details that had been left behind from the previous client.

The document was rarely wrong, but it was always slow. And when two or three enquiries arrived on the same day, the third one waited.

What it does

Enquiry in, quotation out

The enquiry is captured in a fixed structure — customer, scope, quantities, terms. The system prices it from a maintained list, applies the right validity and payment terms, and produces the document ready for review.

A person still decides on the commercial call. The system removes the retyping around that decision.

The flow

How a quotation moves through the system

  1. Structured enquiry

Requirement captured once, in a fixed format

  2. Product & pricing lookup

Items, rates and terms pulled from the price list

  3. Draft quotation

Generated with the correct branding and validity

  4. Internal review

Margin and discount checked before it leaves

  5. Sent to customer

Email or WhatsApp, logged against the enquiry

  6. Follow-up scheduled

Reminders until the quotation is answered

What changed

The difference in day-to-day work

No claimed percentages — just the changes we can point to in our own operation.

One place for pricing

Rates live in one maintained list instead of inside old documents, so an outdated price is not copied forward.

Consistent documents

Every quotation carries the same structure, terms and branding regardless of who prepares it.

Nothing sits unanswered

A quotation that is sent creates a follow-up task, so it is never simply forgotten after dispatch.

Handover is possible

A colleague can pick up an enquiry without asking who spoke to the customer and what was offered.

History stays with the customer

Previous quotations and revisions are attached to the record, not scattered across inboxes.

Review is quicker

Because the draft is already correct in structure, the review is about the commercial call, not the formatting.

We build for clients what we already run ourselves.

If quoting is the slowest step in your sales process, that is usually the first thing worth connecting.
