WhatsApp Automation

WhatsApp is where our customers actually write to us. This system keeps the conversation there while making sure the business does not depend on one person's phone.

From message to owned enquiry

  1. Message arrives

New or existing contact on WhatsApp

  2. Enquiry captured

Recorded against the customer, not a personal phone

  3. Structured

Requirement, quantity and urgency pulled into fields

  4. Owner assigned

One named person is responsible for the reply

Why we built it

The enquiries were arriving; the record of them was not

A message would come in, get answered properly, and then live only in a phone. Two weeks later nobody could say whether that enquiry had turned into anything, and the history was invisible to everyone except the person who had replied.

The problem was never the responsiveness. It was that the conversation was not connected to anything the business could see.

What it does

Structure behind the conversation

Incoming messages create or update a customer record. The requirement is captured into fields — what is being asked for, quantity, urgency — and an owner is assigned so it is clear who is replying.

This is not a chatbot. Customers are talking to people. The automation is in the capture, the routing and the follow-up, not in pretending a script is a colleague.

The flow

What happens to a WhatsApp message

  1. Message arrives

New or existing contact on WhatsApp

  2. Enquiry captured

Recorded against the customer, not a personal phone

  3. Structured

Requirement, quantity and urgency pulled into fields

  4. Owner assigned

One named person is responsible for the reply

  5. Reply from a person

Templates where useful, judgement where needed

  6. Follow-up tracked

Open threads surface until they are closed

What changed

The difference in day-to-day work

Nothing lives only in a phone

Every enquiry exists as a record, so leave, handover and staff changes stop being a risk.

One owner per enquiry

It is always clear who is replying, which removes both duplicate replies and silence.

Open threads are visible

Anything unanswered surfaces on a list instead of scrolling out of sight in the chat app.

Documents go out from the record

Quotations and confirmations are sent against the enquiry, so the trail stays complete.

The customer notices nothing

They keep writing on WhatsApp in their own words and keep getting a human reply.

It feeds the rest of the flow

A captured enquiry can move straight into quotation and order without being re-entered.

Your business shouldn't be run from a WhatsApp inbox.

Keep the channel your customers prefer. Put a system behind it so the work is visible, owned and followed up.
